Terms and Conditions

1. Purpose of the booking

All bookings made with the Society are granted solely for the purposes agreed with the Society and will be accepted only on that basis. The Society restricts the type of event that can be held at the Society’s premises. The Society’s premises cannot be hired for the purposes of promoting organisations where the business or activities of the Hirer or the nature of the event may (in the reasonable opinion of the Society) be detrimental to the Society’s status or reputation. It is the responsibility of the Hirer to disclose the nature of Hirer’s business and activities and the nature and content of the event to the Society, which disclosure shall be made in reasonable detail and in writing at the time of requesting a booking.

2. Event information

The Hirer shall provide the Society with details of speakers/lecturers, the title and subject matter, and any sponsors, partners and brand relationships of their event by providing a full description of the event prior to confirmation of the booking. The Hirer shall also provide the Society with copies of all relevant press releases at least 48 working hours before any such press release is distributed.

3. Use of the Society's name

The Society’s address (rather than its name) should be used to indicate the location of the event and the Hirer agrees that it will not, under any circumstances, use the Society’s name or reputation to promote its own activities. Invitations, application forms, publicity, social media, etc. should state the location only: “34 Sackville Street, London, W1S 3ED”, and then specify that guests should report to the main reception on arrival. Hire of the Society’s premises does not in any way indicate the Society’s endorsement of, or support for, the Hirer’s business or content of the Event.

4. Photography, TV, radio, and other media recordings

Permission to photograph, record or broadcast within the Society’s premises must be requested from the Society at least 48 working hours in advance. The Society reserves the right to not permit such photography/recording/broadcast as the Society reasonably considers may be inappropriate. Hirers should not include the British Omani Society's logo in publicity materials.

5. Behaviour of event attendees

The Hirer shall ensure that the event attendees behave in such a way that they do not cause a nuisance or unreasonable disruption to the Society, its members, employees, or to anyone else using or visiting the Society. Should any event attendees refuse to, or appear unwilling to, alter any aspect of their behaviour that is unacceptable to the Society, the Society reserves the right to remove the person(s) involved or all of the event attendees.

6. Loss and damage

The Hirer shall during the period of hire be responsible for the safe use and custody of the Society’s property. Damage or loss thereto (other than by fair wear and tear) will be charged at current replacement rates. The Hirer must satisfy itself before use that any equipment ordered has been delivered. The Society’s attention should be drawn immediately to any miscounts, omissions, wrong delivery of faulty equipment. The Society cannot accept responsibility for the safety of Hirer's own equipment stored or housed in its premises. The necessary insurance for this should be effected by the Hirer.

7. Liability

Save where contrary to applicable law,

a. the Society shall not be liable for (i) the death of, or injury to, the Hirer or that of the Hirer’s employees, contractors or any other guests or invitees to the Venue and (ii) damage or theft of any property of the Hirer or that of the Hirer's employees, contractors or other guests or invitees to the Society, except to the extent that such damage or theft arises from the negligence of the Society; and
b. the Society’s total liability to the Hirer shall not exceed the aggregate amount of the invoiced sum.
