Job Opening: Events & Programming Assistant

Location: The British Omani Society, Mayfair, London
Contract Type: 2-Year Fixed-Term
Hours: 37 hours/week, Mon–Fri (9:00–17:30), occasional evenings/early mornings around events (with time off in lieu)
Salary: £28,860 per annum (London Living Wage), reviewed annually
Hybrid Working: Minimum 3 days per week in-office

The British Omani Society (BOS) an Events & Programming Assistant to support the delivery of its wide-ranging events programme and youth engagement initiatives. The Assistant will work closely with the Director, Trustees, and a wide network of collaborators to organise and deliver a strategic annual programme of events and activities across youth, business, environment, and culture/sport.  This is a dynamic role in a small and collaborative team, with opportunities to work closely with high-profile UK and Omani stakeholders, including embassies, government representatives, students, alumni, and corporate partners.

Key Responsibilities

Event Planning & Delivery

  • Plan and deliver monthly in‑house members’ events, including speaker liaison, guest support, AV setup, catering, logistics, and post‑event follow‑up.
  • Support the planning, administration, and operational delivery of the wider events programme (catering, staffing, attendee tracking, room setup, speaker expenses, thank‑you emails).
  • Plan and implement digital events, including webinars and hybrid formats, liaising with the wider team.
  • Operate and troubleshoot event technology (Zoom meetings/webinars, livestreams, recorded lectures, AV equipment, PowerPoint).
  • Manage room‑hire enquiries and support the delivery of room‑hire events.

Flagship Annual Events

Work closely with the Director to organise and execute BOS’s major annual events, including:

  • BOS Annual Lunch
  • Oman Natural Heritage / Environment Lecture
  • Summer Business Reception (with the Corporate Subcommittee)
  • NGG Delegation (with the wider NGG team)
  • Football Association Project
  • BOS Art Group Project

Youth & Alumni Engagement

  • Lead the organisation of youth schemes (Arabic Language Scheme and Student Volunteers Oman Scheme), including recruitment, shortlisting, interviews, visa and travel arrangements, and post‑trip feedback.
  • Arrange New Generation Group (NGG) events, engaging BOS alumni, Omani students in the UK, and emerging leaders central to the Oman–UK relationship.
  • Maintain and update the BOS alumni database, coordinating and re‑activating the alumni network.
  • Liaise with BEM/BC/Cultural Attaché on wider alumni networks and support marketing efforts where required.

Communications & Administration

  • Act as the first point of contact for website enquiries and grant‑related queries, directing them to the appropriate staff member or trustee.
  • Reconcile monthly invoices and Barclaycard expenses, liaising with the Treasurer for payments.

Essential Criteria

  • Experience organising events (including voluntary experience)
  • Highly reliable, organised, and able to multi-task
  • Collaborative and enthusiastic team player
  • Strong initiative and problem-solving abilities
  • Confident communicator with excellent interpersonal skills
  • Available to work from the London office at least 3 days/week
  • Able to work some early mornings/evenings during events (with time off in lieu), and occasionally travel, including potentially to Oman
  • Fluent in English, with strong written skills
  • Must have the right to work in the UK - please note we are unable to provide sponsorship.

Desirable Criteria

  • Knowledge of or interest in Oman, the Gulf, Middle East, or Arab culture
  • Arabic language skills
